Communicating with potential customers

When you contact us via the contact form, email, or telephone, we process your personal data in order to respond to your enquiry.

The information will be deleted once it has been clarified whether you wish to use our services.

Customers (hotel bookings and webshop)

When you make a booking or shop in our webshop, we process your personal data to be able to complete your reservation or order.

We typically handle:

  • Address

  • E-mail

  • Telephone number

  • Payment details

  • Booking and order details

The information is stored until the stay or delivery is completed and any outstanding matters are concluded.

Payment

Your payment details are processed by our payment provider when you make a payment. Worldline, which ensures secure handling of payment data.

Vorupør Badehotel ApS does not have access to your full card details.

Booking system

We use MotoPress Hotel Booking for managing reservations.

The information you provide in connection with your booking, including contact and accommodation details, is registered here.

Online shop

Our webshop is run via WooCommerce (WordPressHere your order information and customer data are processed for the purpose of delivery and administration of your purchase.

Newsletter

You can voluntarily sign up for our newsletter.

The purpose is to send information about:

  • Accommodation and offers

  • Events and news

  • Products from the webshop

 

We use Mailchimp as our email platform.

We only send newsletters if you have given your consent, and we use double opt-in to ensure valid consent.

Legal basis Article 6(1)(a) of the GDPR (consent).

Your details (Name and email) is transferred to Mailchimp, who process the data on our behalf.

You can unsubscribe at any time via the link in our emails.

We store consent documentation for up to 2 years after the last use.

Bookkeeping

We store accounting documents in accordance with the Bookkeeping Act.

This may include:

  • Name

  • Address

  • Order and payment information

Legal basis GDPR Article 6(1)(c) (legal obligation).

Information is retained for a minimum of 5 years after the end of the financial year.

Job applications

If you send us a job application, we will process your information to assess your application.

  • Unsolicited applications will be deleted if they are not relevant

  • Applications for advertised positions are deleted after recruitment is completed

Data processors

We use the following data processors:

  • Worldline – Payment solution

  • WooCommerce (WordPress– webshop and order data

  • MotoPress Hotel Booking – booking management

  • Mailchimp – sending out newsletters

  • Web hosting and email providers

 

All data processors process personal data on our behalf and are subject to data processing agreements.

Disclosure of personal data

We only pass on your personal data when it is necessary to complete your booking or order, including to:

  • Payment providers (Worldline)

  • System suppliers (WooCommerce and MotoPress)

  • Email platform (Mailchimp)

Third-country transfers

Some of our data processors, including Mailchimp, can be established outside the EU/EEA (e.g. USA).

In such cases, we ensure an adequate level of protection through:

  • EU Commission Standard Contractual ClausesSCC)

  • or accession to the EU-U.S. Data Privacy Framework

Profiling and automated decisions

We do not undertake profiling or automated decision-making.
